Office Manager

Title: Office Manager
Employment: Regular, Full Time, Staff Appointment
Salary and Benefits: Appointment salary starting at $40,000. Benefits include health insurance, paid time off, and a generous IRA retirement plan.

The Office Manager will provide administrative leadership for the staff of the National Institute for Newman Studies (henceforth, NINS), which provides resources for scholars dedicated to promoting the study of Blessed John Henry Newman’s life, influence, and work.

Reporting to the Director of NINS, the Office Manager will be responsible for budgeting and accounting, for general upkeep of the building, and for some event planning. The Office Manager will also provide supervision for some staff, including the office assistant, housekeeping employees, and student workers from Duquesne. In this role, the Office Manager will need to discuss with the Director all assignments for staff; the time allotted for tasks; vacation schedules; and duties associated with the Pittsburgh Oratory and Duquesne University events. Thus, the Office Manager will have to be familiar with and carefully enforce the personnel handbook.

As part of the Office Manager’s general duties, s/he regularly interacts with guests—e.g., scholars who are staying at the Institute and persons who attend functions sponsored by NINS. It is essential that the Office Manager cultivate a spirit of hospitality, since in many cases s/he serves as “the face of NINS.” At the same time, the Office Manager needs to possess great facility in the area of financial accounting, as s/he prepares the budget, tracks expenditures, and handles payroll. All of this is done, of course, in close communication with the Director of NINS.

Alongside the above, the Office Manager oversees building maintenance and general supplies. Under this umbrella, the Office Manager is the primary contact person for vendors and contractors and communicates on a regular basis with the cleaning crew, landscapers, electricians, etc. The Office Manager also purchases cleaning, office, and paper supplies. Finally, s/he is on call for emergencies, particularly those having to do with building and maintenance.

The successful candidate must have a minimum of 2-3 years’ experience of office management. Familiarity with the Catholic faith, and awareness of Blessed John Henry Newman’s life and work, is strongly preferred but not required. The successful candidate should be able to articulate how their work will contribute to the fulfillment of NINS’s mission.

The Search Committee will evaluate the candidate's demonstrated leadership, organizational, and decision-making skills; evidence of significant and progressively responsible experience with office management; ability to work with office software and other tools, such as spreadsheets and word processing programs; ability to work cooperatively and maintain effective working relationships with colleagues (i.e., being a team player); and evidence of professional development.
